Information Gathering

Our goal is to make your visits as pleasant and informative as possible.


For your safety and most complete diagnosis, we will have you complete our medical and dental history questionnaire.

Our team will use diagnostic tools to truly reflect your current dental situation. Such technology may include digital x-rays, intraoral digital camera photos (you see what we see!), models of your teeth, and oral cancer screening. Your previous dental treatment and current conditions will also be recorded.


If treatment begins with a dental cleaning, our hygienists will accurately record the condition of the supporting structures of your mouth. They will formulate a custom cleaning or periodontal (gum) therapy for you which will suit your particular needs. Our hygiene team is comprised of experienced and caring professionals who have your dental health as their goal.



Examination and Diagnosis

Dr. Caroline will carefully and thoroughly examine your teeth, oral cavity, and the head and neck regions. She will use the information already gathered to help form a diagnosis. Please feel free to ask any questions that you may have. Dr. Caroline's goal is to create an environment where you feel comfortable to discuss your concerns and wishes.



Treatment Planning

After considering all the information available, she will review with you her diagnosis and discuss with you her recommendations including several options. It is very important to Dr. Caroline that you are a co-author of your dental treatment plan, and that you have the information you need to make an informed decision with a complete understanding of your dental health.



Financial Arrangements

We like to be clear about our financial policies to ensure that we develop a strong relationship with you. We would be happy to provide for you an estimate of our treatment fees, and to preauthorize more extensive treatments with your insurance company. Our financial coordinator will review with you and help you to select one of our payment arrangements.


For your convenience we accept Cash, Cheque, Interac (Debit), Visa, and MasterCard

Dental Insurance

Your dental plan is a form of benefit provided by your employer. You can expect the carrier (insurance company) to reimburse you a portion of our fee. That portion is determined according to the contract between your employer and the insurance company. We are an independent professional office providing dental services, a third-party, and not part of this contract. Therefore, all fees for services provided are the responsibility of the patient, regardless of insurance coverage.


Your benefit plan may not cover all the fees assessed by our office for several reasons, such as:

  • The insurance company follows their own fee schedule
  • A deductible is required
  • An annual limit may be reached
  • The service provided is not a benefit or it is limited under your plan

We will always diagnose and recommend treatment based on your individual needs, not on the assumption that your insurance carrier will reimburse any or all of the fees involved.


To avoid any insurance "surprises", it is important that you become familiar with the basic details of your dental plan. Privacy legislation does not allow us as a third party to have access to these details. We ask that you also update us should your employment or plan details change.


As a courtesy to you, we will process your claim forms to the insurance carrier.


If you have more than one dental plan, we will work with your insurance carriers, coordinating benefits to receive the maximum entitled reimbursement for you.


Our administrative staff will be happy to review your information and answer any questions you may have.



Accepting assignment (direct billing)

It is our preference to bill our patients directly for the services we perform, but we will be pleased to accept assignment of dental fees from most insurance carriers as a courtesy, if this is important to you.


Under this arrangement we will directly bill your insurance carrier for the dental services we have provided to you. Any fees not covered by your dental plan will be paid to us by you on the day of service. Please note that the adult presenting with a minor is responsible for payment at the time of the appointment. In order to accept assignment from your insurance carrier, we require a credit card number to be kept on file to clear up any balance that may yet be owed to us should details of the insurance company's reimbursement not be readily available, or the reimbursement expected is not the full and complete fee. We accept both VISA and Master Card for your convenience.



Non-assignment of dental benefits

Should your dental plan require you to pay the dentist directly on the day of treatment, we will assist you in submitting the necessary documents to your insurance carrier to allow for quick reimbursement to you.


Although we are not a party to the contractual arrangement with your insurance company, we do want you to receive the maximum reimbursement to which you are entitled. As a convenience to you we will help you process your insurance claims in order for you to receive the maximum benefit. We will also gladly provide dental x-rays and a written report should your insurance company require more information regarding the services provided.
